The overview explains how relevant information becomes the foundation for an answer, how a conversation can collect structured details, and where human confirmation belongs before an action. It also introduces Syftee's service questions, source-linked answers, and consultation-request flow.

The later chapters cover internal workflow automation and project delivery, including written scope, documentation, and handoff. These broader projects are discussed through our AI chatbot and automation services; the website assistant is a practical example of the approach.

TRY THE REAL EXPERIENCE

Ask Syftee. Follow the answer.

Explore the assistant already used on this website, with real Syftnex business knowledge behind the conversation.

Ask about a service, explore how a RAG project works, or follow a source link to the underlying website content. Then ask a related question to see how the conversation continues. The demo is a useful way to evaluate the experience before discussing your own support content.

For a guided review, bring a handful of common customer questions and the pages your team would use to answer them. We can discuss the knowledge, tone, and next-step workflow your business needs. A consultation request in the demo is collected for review and confirmation; the final meeting time is arranged by the team.

CUSTOMER SUPPORT, IN CONTEXT

Your customers have questions. Your business already has useful answers.

The information a customer needs is often available somewhere: a service description, an onboarding guide, a policy, or a help article. The difficulty is finding the right part at the right moment. A visitor may not know your internal terminology or which page to open, and a short question can hide several practical concerns.

Syftee brings that published business knowledge into a conversational interface. Instead of expecting every visitor to navigate your content the same way, the assistant retrieves relevant material and uses it to respond to the question being asked. Source links provide a route back to the detail, while follow-up context lets a customer continue the discussion.

This creates a focused role for AI customer support: help with information your business can stand behind, then make the next step clear. Some conversations end with a useful answer. Others become an enquiry or a request for a person to follow up. The value comes from connecting those moments into a coherent customer experience.

SYFTEE CAPABILITIES

Useful answers. Clear context. A better next step.

A website support experience built around business knowledge, conversation, and defined workflows.

Answers grounded in your knowledge

Syftee uses retrieval-augmented generation, or RAG, to find relevant information in an approved knowledge base before generating an answer. This connects the conversation to your actual services, documentation, and policies. It is a useful foundation for questions that would otherwise send a visitor searching through several pages. Your business decides which published content belongs in the knowledge base, and keeping that information accurate remains part of the support process.

Source links people can follow

An answer is more useful when a customer can inspect the information behind it. Syftee can return links to retrieved source pages alongside a response, giving visitors a route to further detail. For your team, those references also make it easier to review whether the right material is being retrieved. Source links support understanding and verification; they work best when the underlying pages are clear, current, and directly relevant to the question.

A conversation with follow-up context

Customers often ask a short follow-up rather than restating their entire question. Syftee carries completed conversation turns into subsequent questions so an exchange can continue naturally. Answers stream into the chat as they are generated, and the widget supports stopping a response, retrying after an error, and starting a new conversation. These details make the assistant easier to use when someone is comparing options or exploring a topic over several messages.

Structured enquiry collection

A conversation can become a useful next step when the information is collected in a consistent format. On the Syftnex website, Syftee guides visitors through a discovery-call request, including contact details, a project description, and a preferred time and time zone. The visitor reviews and confirms the details before submission. This is a request workflow: the team arranges the final meeting time. Additional intake processes are configured around your own requirements.

A branded website experience

The widget supports your logo, assistant name, welcome message, suggested questions, and brand color. A floating drawer offers a convenient entry point from a website, while an embedded chat can sit within a dedicated help or product page. The existing drawer adapts to mobile with a full-screen dialog. We plan the placement and opening prompts around what visitors need at that stage of their journey, keeping the experience connected to the surrounding website.

Deployment and provider choices

Syftee's underlying widget and RAG backend support self-hosted deployment and configurable AI providers. The package includes generation adapters for Anthropic, OpenAI, and Gemini, with a separate retrieval layer. We use those options to discuss an appropriate environment for your business. Hosting the application yourself is distinct from running every AI service locally: selected questions and context may still be processed by the providers chosen for your configuration.

GROUND → STRUCTURE → ACT

How Syftee connects a question to a useful workflow.

Three parts give the assistant a clear job, from finding relevant information to collecting the details needed for a next step.

  1. 01

    Ground the answer

Connect the assistant to approved business content such as service pages, documentation, and policies. Retrieval selects relevant passages for a question before generation. Review the content for missing details and conflicting instructions, then keep the index aligned with what the business currently offers. For larger or more specialized information sets, explore our RAG knowledge base development approach.

  2. 02

    Structure the details

When a conversation needs to become an enquiry, identify the information your team actually needs. A name, a contact method, a short requirement, and a preferred consultation time can be more useful than a long unstructured transcript. Validate the fields and show the visitor what will be submitted. On the current website, Syftee's discovery-request flow uses a review and confirmation step for this purpose.

  3. 03

    Act within a defined process

Pass confirmed information to the agreed destination and make the result clear to the customer. A submitted request, an accepted enquiry, and a scheduled appointment are different outcomes. The workflow should report the outcome it actually achieved. Additional backend actions are designed around the relevant systems, permissions, and review requirements through a scoped business workflow automation project.

KNOWLEDGE THAT EARNS TRUST

Better support begins with content your team can maintain.

A useful starting knowledge set

  • Clear product and service descriptions
  • Support and onboarding instructions
  • Current business policies and boundaries
  • Answers to recurring customer questions
  • A named owner for content updates

Prepare the information before expanding the scope

Start with questions your team answers repeatedly and identify the authoritative page for each one. If two pages describe the same policy differently, resolve that conflict before indexing them. If an answer depends on the customer's account, identify that dependency rather than placing private information into a public knowledge source. A smaller, well-maintained collection is often a more useful launch point than a large collection of outdated material.

Make updates part of the support process

Content publication and knowledge indexing are related but separate operations. New material needs to reach the retrieval index, and removed or superseded material needs to be handled deliberately. During implementation, we agree the content sources, update mechanism, and person responsible for review. This gives your team a repeatable way to keep the assistant aligned with changing services and policies.

Test the gaps as well as the common answers

A useful evaluation includes questions with no answer, unclear wording, and requests outside the assistant's role. The backend has a fallback when retrieval returns no content. Your deployment also needs a clear route for customers who need a person or a different support channel. Review answer quality and source relevance with real examples before widening coverage. For the broader approach to finding information, see our AI semantic search services.

PRACTICAL CUSTOMER SUPPORT

Start where customers ask for help most often.

01 / SERVICE BUSINESSES

Help a visitor understand the right service.

Explain what a service covers, how an engagement begins, and what information is useful for an enquiry. A customer can explore their question in their own words and open the relevant source page for more detail. When the conversation needs a next step, a structured request can give your team the context to respond. Syftnex's own service and discovery-request experience demonstrates this pattern.

02 / PRODUCT & SOFTWARE TEAMS

Make published guidance easier to find.

Use approved setup information, feature explanations, and troubleshooting guidance as a starting point for common questions. Decide which issues can be answered from public documentation and which need private account access or technical investigation. The chatbot can support the information journey while your team defines the appropriate escalation route. Authenticated account actions and helpdesk integrations are assessed as additional workflows.

03 / CUSTOMER ONBOARDING

Keep the first steps understandable.

Customers often need help understanding a process before they are ready to complete it. Connect your published onboarding instructions, explain prerequisites, and help visitors find the next relevant page. Clear source content is especially valuable when several steps or policies are involved. Start with the questions that create the most uncertainty, and use the resulting feedback to improve both the knowledge base and the onboarding journey.

DEPLOYMENT & DATA

Choose the environment and understand the data flow.

Self-hosting and provider flexibility make the architecture a decision you can discuss from the start.

Discuss your website environment

Fit the assistant to your website

The underlying widget supports React and a framework-independent Web Component. We assess the site, content sources, hosting, and backend connection before deciding how to integrate it. Placement matters too: a floating assistant works across a site, while an embedded conversation can support a focused help page. Our website development services can support changes needed around the customer journey.

Review the complete AI configuration

Generation, embeddings, and retrieval storage are separate parts of the system. Provider selection should consider the questions being answered, operational requirements, and how selected context is processed. The package includes configurable generation providers, and our LLM integration services cover the wider engineering work. Hosting the application yourself does not make cloud AI processing local, so the proposal should identify the services involved.

Agree ongoing responsibilities

Confirm who maintains the application, updates the knowledge base, reviews access, and monitors service issues. Browser conversation storage is configurable; the embedded demo here does not opt into persistent local history. An enquiry submitted through a workflow has its own retention and handling requirements. Review those choices alongside your privacy requirements and the policies of any selected providers.

CONNECTED WORKFLOWS

Give every integration a clear purpose.

A website answer, a request submitted to your team, and an action inside a customer account each need different information and permissions. Begin with the outcome you want, then identify the minimum data and system access needed to achieve it. This keeps the implementation focused and makes the result easier to test.

Syftee's current enquiry workflow is a concrete example. Connecting a support inbox, creating a ticket, checking an order, or updating a CRM are separate integration requirements. We review the available APIs, authentication, validation, and failure handling for each one. Where customer relationship management is also part of your roadmap, explore our AI-powered self-hosted CRM and discuss the connection explicitly.

The custom AI chatbot development service is the place to explore a wider agent or automation project. The product discussion starts with Syftee's confirmed website experience and the additions your business needs. This gives you a clear basis for comparing a focused knowledge assistant with a broader helpdesk or multi-system implementation.

A PRACTICAL LAUNCH

Move from a demo to a support experience your team can run.

  1. 01

    Choose the first customer questions

Bring the questions your team handles most often, the pages used to answer them, and the next step you want a visitor to take. Decide what belongs in the initial launch and what needs a later phase. This establishes a useful boundary and gives the demo a realistic set of examples.

  2. 02

Prepare knowledge and define the workflow

Review the approved content, remove conflicts, and map any structured intake fields. Agree the assistant's identity, tone, fallback, and confirmation steps. If a workflow connects to another system, define its destination and success response. The written scope should identify the product configuration and any additional integration work.

  3. 03

    Validate the customer experience

Test common questions, follow-ups, missing information, and requests outside the intended role. Check source links, the mobile chat layout, and any enquiry review step. Evaluate the answer against the approved information and the actual action result. Use those observations to improve the content and configuration before launch.

  4. 04

    Handover, maintain, and improve

Document the environment, content update process, and operational responsibilities. Agree how your team reports an issue and how future changes are scoped. Begin with a manageable knowledge set, then expand based on recurring customer needs and observed gaps. Our delivery approach covers written scope, documentation, and handoff in more detail.

Frequently Asked Questions

Before You Add AI Customer Support

Knowledge, deployment, enquiries, and the integrations to discuss before launch.

What is Syftee AI customer support?
Syftee is Syftnex's website assistant, built on a RAG chatbot widget and backend. It connects customer questions to approved business knowledge, can show source links, and supports a branded chat experience. On the Syftnex website, it also guides visitors through a structured discovery-call request. For another business, the knowledge sources, assistant identity, deployment, and any action workflows are configured to match that organization's needs.
How does Syftee use our business knowledge?
Approved, published content is prepared and indexed for retrieval. When someone asks a question, the system searches that knowledge base for relevant passages and uses the selected context to generate an answer. This is retrieval-augmented generation, or RAG. Updating a website alone does not necessarily update the assistant's index: content synchronization and removal of outdated material need to be part of the deployment plan. We agree which sources are included and who maintains them.
What happens when the knowledge base has no answer?
When retrieval returns no content, the backend provides a knowledge-base fallback without asking the language model to invent an answer. Relevant retrieval is still not a guarantee that every response will be correct, so testing should include incomplete, ambiguous, and unsupported questions. For your deployment, we agree how the assistant should direct a visitor to the next support option. Live agent takeover and helpdesk ticket creation are separate workflows to confirm in scope.
Can Syftee collect enquiries and consultation requests?
Yes. The current Syftnex implementation has a structured discovery-request flow. It collects the required details, shows a review step, and submits after the visitor confirms. A confirmed request is different from a confirmed appointment; the team handles final scheduling. Other forms of intake, such as a product enquiry or support request, can be assessed against your fields, validation rules, and destination system. Their availability is confirmed in the implementation scope.
Can we add the AI chatbot to our existing website?
The underlying widget provides a React wrapper and a framework-independent Web Component, with floating drawer and embedded presentation options. We assess your website, hosting, content sources, and backend requirements before choosing an integration. A compatible front end also needs a working server endpoint and configured retrieval services. WordPress, a custom website, or an existing portal can each require a different installation approach, so the deployment is reviewed rather than assumed to be a single universal snippet.
Does Syftee support WhatsApp, live agents, or customer account actions?
This product page focuses on the website chat experience and the confirmed knowledge and enquiry workflows. A separate WhatsApp button on a website does not make the chatbot a WhatsApp integration. Live agent takeover, helpdesk connections, order lookups, refunds, and account changes require their own integration and permission design. We can assess those requirements through a scoped automation project and clearly identify what is included before implementation.
Can Syftee be self-hosted, and where does customer data go?
The application and backend can be deployed in a self-hosted environment. The overall data flow also includes the generation provider, embedding service, vector storage, and any connected workflow. Self-hosting the application does not mean those services all run locally or that no information leaves your server. We review the chosen services, browser history settings, retention requirements, and access controls as part of deployment. The current website demonstration replies in English; other language requirements need separate validation.
How much does Syftee cost, and how do we get started?
Request a proposal with your website address, the support questions you want to cover, available knowledge sources, and any required action workflows. Pricing is shared directly after reviewing the scope. The discussion should cover setup, content preparation, deployment, maintenance, and external AI or hosting usage. Try the live Syftnex example or watch the overview video first, then bring a few real questions to a guided demo so the evaluation reflects your business.
